What we collect and why
Enquiries may include a guardian’s name, email, student year level, learning goals and availability. When you enrol, we may also collect student and guardian contact details, curriculum and relevant learning needs, attendance, lesson notes, practice responses, progress summaries and billing records.
We collect information from you, from the student’s use of the learning workspace and, where authorised, from a teacher or another person supporting their learning. Please share only information relevant to tutoring. Discuss sensitive learning or health information with us before sending documents.
Who can see it
Authorised tutors access the information needed to teach their students. Guardians access their linked family’s information; administrators handle scheduling, finance, support and safety matters. Service providers process information needed for hosting, account access, database storage, email, video and payments.
We may also disclose information where required or permitted by law, including to address a safety concern. Internal safeguarding notes and another student’s information are not part of a family progress report.
Service providers and overseas processing
The platform uses services including Netlify for hosting, Supabase for accounts and data, Daily for video, Resend for service emails, and eWay for card payments. Some providers may process information outside Australia. Contact us for information about the providers and processing locations relevant to your family.
Card details are entered in the payment provider’s checkout. Do not send card numbers to your tutor or by email.
Website analytics and device storage
The public website uses Google Analytics to understand visits and navigation. Google may process usage, device and cookie information overseas. Our analytics setup excludes lesson rooms, login, enquiry, intake and payment-request pages, and removes query strings from the page and referrer addresses it reports.
Your browser also stores information needed for account access, preferences and unfinished practice drafts. Draft practice may remain on that device until submitted or cleared; use your own device where possible.
You can control cookies in your browser and use Google’s Analytics opt-out browser add-on.
Keeping information and protecting it
We use account permissions and access controls to limit who can see family information. Records are kept for tutoring, administration, safety, dispute handling and applicable legal obligations. Contact us to discuss deletion of information that is no longer needed; some records may need to be retained.
If a data incident occurs, we will investigate and take appropriate steps, including notification where required by applicable law.
Access, correction and privacy concerns
Email admin@nwmt.com.au to request access, correct information, discuss deletion or make a privacy complaint. We may need to verify your identity and authority for the student. We aim to respond within 30 days and will let you know if more time is needed.
If a concern remains unresolved, you may contact the Office of the Australian Information Commissioner where its jurisdiction applies.
Children, recordings and photographs
A parent or authorised guardian manages enrolment and relevant permissions for students under 18. Recording and replay are not a standard lesson entitlement. If introduced, we will explain consent, access and retention arrangements first.
Student images or identifiable work will not be used for public promotion without the appropriate permission.
Enquiries and policy changes
The enquiry composer prepares text in your browser. We receive it when you send the email. Your chosen email service also handles that message.
We may update this policy as the service or its providers change. Material changes affecting enrolled families will be communicated. Read this alongside the tutoring terms.
